With a large workforce navigating new government guidelines around COVID-safe working environments, JLL wanted to create a form of technology to help employees feel safe when they returned to the office as well as more engaged and ready for collaboration with colleagues.

Challenge

JLL wanted to create a more flexible work environment so employees could work where they choose while feeling more connected, productive, safe, and supported when they returned to the office.

Approach

JLL’s Brisbane employees were given access to JLL Jet, a hybrid workplace app with a simple and intuitive conversational interface designed to save time on common tasks including desk and space reservations, meeting scheduling, calendar reminders and broadcast notifications.

A key focus for the Brisbane office was to make desk reservations easier for employees returning to the office. Jet was configured to replicate the Brisbane office’s seating neighbourhoods by creating seating zones within the app. This meant employees were able to easily search available desks within their allocated zone and reserve a desk in advance.

Along with desk reservations, employees benefitted from the Outlook integration enabling them to schedule meetings using the conversational interface, receive in-app notifications of their schedule for the next day, and at the touch of a button send a templated “running late” email to the meeting organiser.

Incorporating JLL Jet into established platforms was seamless and resulted in strong user engagement and take up of hybrid working. JLL Jet allowed employees to efficiently manage daily scheduling tasks, leaving more time free to focus on their work.

Result

Moving beyond the pilot, the Brisbane office continues to see the benefits of Jet to improve employee experience and productivity.

Data gathered by the app was able to provide insight on office capacity for each day, which is important for compliance with COVID-safe capacity regulations. The data also informed space optimisation planning for the office by showing which desks were being over- or underutilised. Based on this information, the Brisbane office was able to reconfigure desk zones to better accommodate the hybrid workforce.

JLL Jet is an example of how technology will help power the evolution to a hybrid work environment.

"The shift to the hybrid workplace changes more than the form and function of offices; it also changes how employees experience work," said Sharad Rastogi, Chief Product Officer at JLLT. "We are bringing solutions to market that our clients need to navigate this shift and transform the way organisations foster culture, collaboration and innovation – no matter where work takes place."
