How to boost proactive maintenance to save time and money

Using automation can reduce reactive repairs and help you stay on top of preventative maintenance to improve efficiency and reduce costs

Technology and automation have enhanced many areas of how we work to improve accuracy, efficiency and ultimately deliver cost savings and provide service continuity. For facilities management, one of the biggest benefits of integrating technology is how real-time data can be used to take control of proactive maintenance.

By having access to a real-time flow of data and analytics, through industry-leading purpose-built technology platform Corrigo, JLL’s facilities managers can make well-informed decisions that reflect clients’ specific business goals for every location and asset they oversee, says Arthur Kiss, Senior Facilities Manager - JLL.

“Corrigo’s online platform and mobile applications automate many FM processes, which leaves facilities managers free to use its sophisticated reporting capabilities to optimise service delivery and spend for clients,” says Kiss.

One area Corrigo can significantly reduce or eliminate costs is by scheduling preventative maintenance to be carried out on time. This ensures equipment operates as designed and reduces the risk of breakdowns resulting in urgent reactive repairs or replacement which often comes with a high cost.

“Without automation, it’s easy to miss routine maintenance and monitoring which can result in unexpected expenses to replace or fix assets. For many buildings, reactive maintenance sits at around 70% which is very time and cost intensive,” Kiss says. “Best practice in FM is to keep reactive maintenance at approximately 30% and preventative maintenance at 70%, Corrigo schedules and manages preventative maintenance to optimise asset performance. This maximises maintenance performed under warranty on high-cost assets to avoid the disruptions and expense of breakdowns. Data from Corrigo also assists facilities managers to track asset performance and make decisions about the best time to replace high-cost assets proactively, rather than when they need urgent attention.”

Regular, proactive maintenance also ensures equipment is operating as efficiently as possible which helps contribute to achieving sustainability and net zero targets.

Automation can also improve management of technicians and vendors as well as increase compliance. Using dashboards and data analytics, it’s easy to track and benchmark technician performance and balance workload as necessary.

“By having data and analytics all in one place, Corrigo delivers unique insights into cost drivers and vendor effectiveness,” Kiss says. “This data also allows oversight to enforce compliance and the ability to create audit trails for important inspections and ensure contractual commitments are met. Financial compliance can also be maintained by setting not-to-exceed amounts in the system.”

Automation is transforming facilities management and building operations through improved data and analytics to effectively track performance and implementing best practices to reduce costs and risk.
